How MealOps Protects Your Information
Effective date: October 10, 2025
MealOps, Inc. (“MealOps”, “we”, “us”, or “our”) operates a platform that helps athletic programs and delivery partners coordinate meal logistics. This Privacy Policy explains how we collect, use, share, and safeguard information when you interact with our websites, applications, communications, and related services (collectively, the “Services”). It also outlines the choices you have about your information and how to reach us with questions.
1. Information We Collect
We collect information in three ways: (a) directly from you, (b) automatically when you use the Services, and (c) from partners who help us deliver the Services.
- Account and profile details. Name, email address, phone number, role, organization, password or authentication tokens, and communication preferences.
 - Operational data. Meal schedules, roster details, dietary notes, delivery instructions, transaction records, and content you choose to upload or share through the Services.
 - SMS messaging data. Web form consent submissions (checkbox selections, phone numbers, timestamps, and device or IP metadata), opt-in and opt-out timestamps, delivery receipts, and limited message content needed to provide transactional meal updates.
 - Usage data. Device identifiers, browser type, pages viewed, referring/exit pages, approximate location, and information collected through cookies or similar technologies.
 - Partner and service-provider inputs. Payment processors, logistics platforms, and other partners may supply limited information required to verify eligibility, process payments, or provide integrated services.

2. How We Use Information
MealOps processes information for legitimate business purposes that support our clients, partners, and end users. Typical uses include:
- Delivering and improving the Services. Enabling collaboration on meal plans, managing permissions, troubleshooting issues, and analyzing engagement to improve performance and reliability.
 - Communicating with you. Responding to inquiries, sending operational updates, providing onboarding or training materials, and informing you about new capabilities where permitted by law.
 - Supporting SMS notifications. Prompting team members in the shared cart to set SMS preferences, delivering transactional texts about meal logistics once consent is recorded, honoring opt-in/opt-out requests, and maintaining compliance with carrier and legal requirements.
 - Security and integrity. Monitoring for fraud, protecting accounts, enforcing policies, and complying with legal and contractual obligations.
 - Business operations. Aggregating and de-identifying data to understand platform adoption, prepare internal reporting, or support strategic planning.

3. When We Share Information
We do not sell personal information. We may share information in the following circumstances:
- With athletic programs and partners to fulfil requests, coordinate deliveries, or provide visibility to authorized team members.
 - With service providers who assist with technology hosting, communications, analytics, payments, customer success, or legal counsel under confidentiality obligations.
 - With messaging providers and carriers that deliver our SMS programs so they can process and route messages, enforce opt-out commands, and perform fraud or quality monitoring.
 - For legal or safety reasons when required by law, regulation, legal process, or to protect the rights, property, or safety of MealOps, our clients, or others.
 - With your consent or at your direction, such as when integrating with a third-party platform you choose to connect.

4. Cookies and Similar Technologies
We use cookies, pixels, and similar tools to keep you signed in, remember preferences, and measure usage. Where required by law, we will ask for your consent before setting non-essential cookies. You can adjust your browser settings to refuse or remove cookies, but doing so may affect core functionality.
5. Data Retention and Security
We retain information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce agreements. SMS consent and delivery logs are retained for as long as needed to demonstrate compliance with messaging requirements. MealOps uses administrative, technical, and physical safeguards to protect information. No system is 100% secure, so we encourage you to use strong passwords and keep access credentials confidential.
